How to send large files to clients: a simple guide for photographers and studios

Email attachments stop at a few megabytes. Here is how to send full-resolution photos, videos and whole folders with one link, a password and an expiry date.

Email works for a few documents, not for a wedding album, a 4K film or a folder of raw files. Attachments hit their size limit quickly, and splitting files across several emails confuses clients. Chat apps compress photos and videos, so the client never sees the quality you delivered.

The fix is to stop attaching files and send a link instead.

Send a link, not an attachment

Upload the files once and share a single link. The person on the other side opens it in their browser and downloads what they need. They do not need an account or an app.

This works for any file type: photos, videos, PDFs, design files, or a whole folder at once. Every link also comes with a QR code, which is handy when you are handing files over in person.

Protect what you send

Client work should not stay open on the internet forever. Before you share a link, decide:

  • Password: the client enters it once before they see anything.
  • Expiry date: the link stops working on a day you choose.
  • Off switch: you can turn any link off later, even after it has been sent.

Files are protected with AES-256 encryption while they are stored, and they are served through short-lived links rather than public addresses.

Let clients preview before they download

A client does not always need every file on their computer. With previews, they can look through photos and play videos in the browser first, then download only what they want. That saves them time and saves you from answering "which file was it?" messages.

Collect files the other way too

Large files travel in both directions. When you need something from a client, such as reference photos, a logo or signed documents, send a request link with a deadline. They upload without an account, the files land in the folder you choose, and you get an email when they arrive.

A simple routine for every delivery

  1. Put the final files in one folder.
  2. Upload the folder and create a share link.
  3. Add a password and an expiry date.
  4. Send the link, or the QR code.
  5. Turn the link off once the client confirms they have everything.
