Event photo sharing with a QR code: get photos to every guest the same day

How to share event photos with guests using one QR code at the venue: a live gallery, selfie search and nothing for guests to install.

At most events the photos are great and the delivery is slow. Guests ask for pictures on the day, the photographer sends a folder a week later, and by then most people have stopped looking.

A QR code at the venue fixes the delivery. Guests scan it, the event gallery opens in their browser, and they take their photos home the same day.

How QR code photo sharing works

  1. Create one gallery for the event. All the photos go into a single gallery instead of a chat group or a shared drive.
  2. Print the QR code. Every gallery has its own link and QR code. Put it on a standee near the entrance, on table cards or on the stage screen.
  3. Guests scan it. The gallery opens in the phone browser. There is no app to install and no account to create.
  4. They download their photos. Guests save the pictures they like at full quality.

Let each guest find their own photos

A gallery of three thousand photos is hard to use. With AI face search, a guest takes one selfie on the gallery page and sees only the photos they appear in. For most guests this takes less than a minute, and it is the part they remember.

Make it live with camera upload

If the photographer connects their camera, each photo goes into the gallery as it is taken. Guests can scan the QR code during the event and already find their pictures. See how Camera to Cloud works with Sony, Canon and Nikon cameras.

Keep the event brand in front of guests

The gallery can carry the event logo, colours and cover photo, and it can sit on your own domain. For a sponsored event, that keeps the sponsor visible every time a guest opens their photos.

Where to place the QR code

  • At the entrance and the registration desk.
  • On each table, as a small card.
  • On the photo booth or selfie wall.
  • On the stage screen between sessions.
  • In the thank-you message you send after the event.

Which events this works for

Weddings and receptions, conferences, product launches, award nights, college fests and company offsites. Anywhere a photographer is shooting and guests want their pictures.

A quick checklist before the event

  1. Create the gallery and set its cover and logo.
  2. Decide whether the full gallery is open to guests or only their own matches.
  3. Print the QR code and test it on two phones.
  4. If you use live upload, set up the camera the day before.
  5. Check the venue Wi-Fi or carry a hotspot.
