How to collect files from clients with a file request link

Stop chasing attachments. Send one file request link, let clients, vendors or candidates upload without an account, and get notified when files arrive.

Sending files is easy. Collecting them is where time goes. You ask a client for documents, they email three attachments, the fourth is too large, and a week later you are still asking for the last one.

A file request link turns this around. You send one link, and the other person uploads straight to your account.

What is a file request?

A file request is a link you create for a specific purpose, such as "Send your event photos" or "Upload your KYC documents". Anyone with the link can upload files to it. They do not need an account, and the files land in your ShareXtra account, in one place.

How to create one

  1. Give it a title, so the person knows what you are asking for.
  2. Choose the allowed file types, for example only images or only PDFs.
  3. Set an upload limit and a deadline, so the request closes when the work is done.
  4. Share the link by email or chat.

You get an email when someone submits to the request, and a Slack message if you connect Slack.

When a file request helps

  • Photographers and studios: collect reference photos, guest lists or a couple's music choices before the shoot.
  • Agencies and freelancers: receive logos, brand assets and raw footage from clients.
  • HR teams: collect documents from new joiners.
  • Vendors and partners: receive invoices, designs or reports in one folder.
  • Events: ask guests to upload the photos they took on their own phones.

Why not just use email?

Email attachments are limited to a few megabytes, and files get scattered across threads. A request link has no back-and-forth: the person uploads once, you are notified, and everything sits together under the request.

When it is your turn to send, the same account does it the other way: upload the files, get one link and a QR code, and add a password and an expiry date if the files are private. You can switch any link off from your dashboard, even after it has been sent.

Tips for a smooth collection

  1. Say exactly what you need in the title.
  2. Set a deadline and mention it in your message.
  3. Limit the file types, so you do not receive screenshots when you asked for PDFs.
  4. Use one request per client or per job, so files never mix.
